Cancellation & Refund Policy

At Kaizen Stay-Inn, we understand that travel plans can change unexpectedly. Our cancellation policy is designed to be fair and transparent for all guests while allowing us to maintain the quality of service you expect.
1. Standard Cancellation Policy
Free Cancellation
- Cancellations made 48 hours or more before the check-in date are eligible for a full refund.
- The refund will be processed to the original payment method within 7-10 business days.
Late Cancellation
- Cancellations made within 48 hours of check-in will be charged one night's stay.
- The remaining balance (if any) will be refunded within 7-10 business days.
No-Show
- Guests who fail to arrive without prior cancellation will be charged the full booking amount.
- No refund will be issued for no-shows.
2. Booking Modifications
- Date changes are subject to availability and must be requested at least 24 hours before the original check-in date.
- Room upgrades or downgrades are subject to availability and rate differences.
- Guest name changes may be accommodated with proper identification verification.
- Modifications made within 24 hours of check-in may be treated as a cancellation and rebooking.
3. Refund Processing
- UPI/Bank Transfer: Refunds will be credited within 7-10 business days.
- Cash Payments: Refunds will be processed via bank transfer. Please provide your bank account details.
- Third-Party Bookings: For reservations made through OTAs (MakeMyTrip, Goibibo, Booking.com, etc.), please contact the respective platform for cancellation and refunds as per their policies.
4. Special Circumstances
Force Majeure
In case of unforeseen circumstances beyond our control (natural disasters, government restrictions, epidemics, strikes, etc.), we will work with guests to:
- Reschedule the booking to a later date at no additional charge
- Provide a credit voucher valid for 12 months
- Issue a full or partial refund on a case-by-case basis
Medical Emergencies
We understand that medical emergencies can disrupt travel plans. If you need to cancel due to a medical emergency:
- Please provide relevant medical documentation
- We will review each case individually and may waive cancellation charges

5. Group & Extended Stay Bookings
- Groups (5+ rooms): Require at least 7 days advance notice for free cancellation.
- Extended stays (7+ nights): May have modified cancellation terms discussed at the time of booking.
- Event bookings: Custom cancellation terms apply and will be specified in the booking confirmation.
6. How to Cancel Your Booking
You can cancel your reservation through any of the following methods:

Please include your booking confirmation number, guest name, and check-in date in your cancellation request.
7. Important Notes
- All cancellations must be made in writing (email, SMS, or WhatsApp).
- Verbal cancellations must be followed up with written confirmation.
- The cancellation time is based on Indian Standard Time (IST).
- We recommend guests purchase travel insurance to cover unforeseen cancellations.
8. Non-Refundable Bookings
Some promotional rates or special offers may be non-refundable. These terms will be clearly indicated at the time of booking. Non-refundable bookings:
- Cannot be cancelled for a refund
- May be modified to different dates subject to availability and rate differences
- Are final and binding upon confirmation
